# Tax Organizer Follow-Up
## When to use this
Use this when organizers, questionnaires, or document checklists have gone out and clients have not sent everything back. It covers:
- Building a reminder run across many clients at once.
- Writing a follow-up for one client with a specific list of missing items.
- Deciding when email has stopped working and it is time to call.
- Handling clients who are late every single year.
This stops at the extension warning. Use a separate process for the extension announcement itself.
## What to gather first
Ask for all of the following before drafting. Never invent client names, missing items, dates, or history.
1. Country: US, AU, NZ, UK, or CA. This sets vocabulary (organizer and 1040 in the US, checklist or questionnaire and tax return elsewhere, self assessment in the UK, T1 in CA) and the shape of the season. Any deadline that appears in a message comes from the practitioner or is written as [PLACEHOLDER: date].
2. Where the firm is in the season (early, mid, or late) and the firm's internal cutoff: the "documents in by this date or we file an extension" date. If the firm has no cutoff, suggest picking one before any late-season messages go out.
3. For each client:
- Name, and whether it is an individual or business return (1040, 1120-S, 1065, or the local equivalent).
- What has been received so far, and the exact list of missing items.
- How many reminders have already gone out, and when the last one was sent.
- U
